StaySafe Verified LLC respects your privacy and understands the importance of handling information responsibly. This Privacy Policy explains the information we collect, how we use it, when it may be disclosed and the choices available to you when you use the StaySafe Verified™ website, StayHub™, the Trusted Stay™ Program and related services.

By using our website or services, you acknowledge the practices described in this Privacy Policy.

1. Scope of This Policy

This Privacy Policy applies to information collected through:

  • The StaySafe Verified public website
  • Host account registration
  • Property profiles
  • The Trusted Stay Builder
  • Published StayHub pages
  • Trusted Stay Profile submissions
  • Trusted Stay review materials
  • Membership and payment activities
  • Contact and customer-support communications
  • Other services that link to this Privacy Policy

This policy does not govern independent third-party services, such as booking platforms, payment processors or external websites. Those services maintain their own privacy practices and policies.

2. Information Hosts Provide

Hosts, property owners and authorized property managers may provide information such as:

  • Name
  • Email address
  • Telephone number
  • Business or organization name
  • Account and login information
  • Property name and address
  • Property descriptions and photographs
  • Amenities and property features
  • Arrival and checkout guidance
  • House rules
  • Local recommendations
  • Accessibility information
  • Preparedness and safety-equipment information
  • Host attestations and acknowledgments
  • Trusted Stay Profile responses
  • Supporting photographs, videos or documents
  • Customer-support communications
  • Membership and transaction records

Hosts are responsible for ensuring they have the authority to submit information about a property and for reviewing information before it is published.

3. Information Collected Automatically

When someone visits our website or opens a published StayHub, we and our approved service providers may automatically collect limited technical information, such as:

  • Internet Protocol address
  • Browser type
  • Device type
  • Operating system
  • Referring page
  • Pages viewed
  • Date and time of access
  • Approximate location derived from an Internet Protocol address
  • Cookie or similar device identifiers
  • Performance, diagnostic and security information

We may use this information to operate the website, understand general usage, improve performance, prevent abuse and maintain security.

The public version of StayHub does not independently verify whether a person opening a property link is a confirmed guest.

4. Information That Must Not Be Submitted

Do not enter, upload, publish or send the following information through StayHub, the Trusted Stay Builder or a StaySafe Verified contact form:

  • Door codes
  • Gate codes
  • Lockbox combinations
  • Keypad codes
  • Alarm codes
  • Wi-Fi passwords
  • Booking-platform passwords
  • Social Security numbers
  • Government identification numbers
  • Bank-account information
  • Full payment-card information
  • Medical records
  • Other sensitive passwords or access credentials

StayHub is designed so that these credentials are not required for public publication.

Hosts should provide property-access credentials and Wi-Fi passwords privately through their booking platform, a printed welcome card at the property or another appropriate direct communication method.

StaySafe Verified may use automated or manual measures to identify and reject prohibited information. However, users remain responsible for not submitting sensitive credentials.

5. Public StayHub Information

When a host publishes a StayHub, the property information selected and approved for publication may be viewed by anyone who receives, opens or is forwarded the property link or QR code.

Published information may include:

  • Property name and general identity
  • Property photographs
  • Arrival guidance that does not contain access credentials
  • Amenities
  • House rules
  • Property-use instructions
  • Local recommendations
  • Checkout guidance
  • Host-approved contact instructions
  • Applicable Trusted Stay status information

A published StayHub must not be treated as a private location for passwords, access codes, financial information or other sensitive information.

Hosts should publish only information that is appropriate for guest-facing access.

6. Trusted Stay Review Information

Information submitted for Trusted Stay review may include host responses, attestations, photographs, videos, documents and supporting communications.

Trusted Stay review information may be used to:

  • Evaluate a submitted Trusted Stay Profile
  • Request clarification or additional information
  • Document a review outcome
  • Manage Trusted Stay status
  • Maintain appropriate review and audit records
  • Investigate inaccurate, misleading or disputed submissions

Review evidence is not automatically published in StayHub.

Publicly displayed Trusted Stay information may be limited to:

  • The property's Trusted Stay status
  • An applicable review or confirmation date
  • An approved Trusted Stay Badge
  • Other specifically approved status information

Nonpublic review information may be accessible to authorized StaySafe Verified personnel and approved service providers who need it to perform their responsibilities.

The Trusted Stay Badge reflects StaySafe Verified's review and approval of the host's submitted Trusted Stay Profile. It is not an inspection, audit, certification, ranking, warranty or guarantee of property condition or safety.

7. How We Use Information

We may use information to:

  • Create and maintain user accounts
  • Operate the Trusted Stay Builder
  • Generate property-specific StayHub content
  • Provide hosts with previews of proposed public content
  • Publish host-approved property information
  • Conduct Trusted Stay Profile reviews
  • Manage Trusted Stay status and Badge display
  • Process memberships and payments
  • Provide customer support
  • Send service, account and transaction communications
  • Maintain property, review and version histories
  • Detect prohibited information, misuse, fraud and security threats
  • Improve website usability and performance
  • Enforce our agreements and policies
  • Protect the rights and interests of StaySafe Verified, hosts, guests and others
  • Comply with legal, regulatory, tax and accounting obligations

We will not use personal information for a materially different purpose without providing appropriate notice or obtaining consent when required.

8. Payments

Payments are processed by an approved third-party payment-services provider.

StaySafe Verified does not intend to store full payment-card numbers or card-security codes on its own systems.

Payment providers may collect and process payment information under their own terms and privacy policies. StaySafe Verified may receive limited transaction information, such as payment status, transaction date, membership level and the final digits of a payment method.

9. How Information May Be Disclosed

We may disclose information to approved service providers that help us operate the business, including providers of:

  • Website and cloud hosting
  • Database and file storage
  • Account authentication
  • Payment processing
  • Email delivery
  • Customer support
  • Website analytics
  • Error monitoring
  • Security and fraud prevention
  • Document and media processing
  • Professional, legal, accounting and insurance services

These providers may access information only as reasonably necessary to perform services on our behalf and subject to applicable agreements and responsibilities.

Information may also be disclosed:

  • At the user's direction or with the user's consent
  • To complete a requested transaction
  • To comply with applicable law, legal process or government request
  • To investigate suspected fraud, abuse or security incidents
  • To protect legal rights, property or safety
  • To enforce our agreements

We do not promise that information will never be disclosed when disclosure is legally required or reasonably necessary to protect the service and its users.

10. Sale of Personal Information and Advertising

StaySafe Verified does not sell personal information for money.

StaySafe Verified does not intend to use personal information for cross-context behavioral advertising at launch.

If our practices materially change, we will update this Privacy Policy and provide any choices required by applicable law.

11. Cookies and Similar Technologies

We may use cookies and similar technologies that are necessary to:

  • Maintain user sessions
  • Support account authentication
  • Remember user preferences
  • Protect accounts and services
  • Measure website performance
  • Diagnose technical problems

We may use optional analytics tools to understand general website usage. Where required, optional cookies will not be activated until the visitor has made the applicable choice.

A Cookie Preferences control will be provided only when the website uses optional cookies that require such a control.

Browser settings may also allow users to block or delete certain cookies. Disabling necessary cookies may affect account or website functionality.

12. Data Retention

We retain information only for as long as reasonably necessary for the purposes described in this policy, including:

  • Maintaining accounts
  • Publishing property information
  • Conducting and documenting Trusted Stay reviews
  • Providing customer support
  • Maintaining transaction, tax and accounting records
  • Preventing fraud and security incidents
  • Resolving disputes
  • Enforcing agreements
  • Complying with legal obligations

Retention periods may vary based on the type of information, the reason it was collected and applicable legal requirements.

Closing an account may not result in the immediate deletion of every record. We may retain certain information where reasonably necessary or legally permitted, including transaction records, review history, security logs and records connected to disputes or legal obligations.

13. Information Security

StaySafe Verified uses administrative, technical and organizational safeguards designed to protect information from unauthorized access, loss, misuse or alteration.

However, no website, transmission method, storage system or security measure can guarantee absolute security.

Users are responsible for:

  • Protecting their account passwords
  • Using unique and appropriately strong credentials
  • Preventing unauthorized access to their devices
  • Reviewing information before publication
  • Not submitting prohibited credentials
  • Notifying StaySafe Verified of suspected unauthorized account activity

14. Your Privacy Choices

Depending on where you reside and subject to applicable law, you may have the right to request:

  • Deletion of certain information
  • A copy of certain information
  • Closure of your account

  • Information about how personal information is handled

StaySafe Verified may need to verify your identity and authority before fulfilling a request.

Some requests may be limited or denied when permitted by law, including when information must be retained for legal, security, transaction, review-integrity or dispute-resolution purposes.

15. Children's Privacy

StaySafe Verified services are intended for property owners, hosts, property managers and adult guests.

Our services are not directed to children under 13, and we do not knowingly seek personal information directly from children under 13.

If we learn that personal information from a child under 13 was submitted directly to us without appropriate authorization, we will take reasonable steps to address and delete the information where required.

16. International Users

StaySafe Verified is based in the United States.

Information may be processed in the United States and in other countries where approved service providers operate.

Privacy and data-protection laws may differ between countries. Users outside the United States may have additional rights under applicable law.

StaySafe Verified will evaluate applicable international privacy requirements before formally offering services in jurisdictions requiring additional notices, contractual terms or data-transfer safeguards.

Nothing in this policy should be interpreted as a claim that StaySafe Verified has completed every jurisdiction-specific compliance requirement.

17. Changes to This Policy

We may update this Privacy Policy as our services, technology, service providers or legal obligations change.

When we make changes, we will update the “Last Updated” date at the top of the policy.

When appropriate, material changes may also be communicated through:

  • Account notification
  • Host dashboard notice
  • A notice on the website

We will request additional consent when required by applicable law.
